# Automatic Deactivation of Inactive App Users

## Introduction

Managing user licenses efficiently ensures that Sanas App access is not held by inactive users, keeping your license pool available for active team members. Manually tracking inactivity across a large user base is time-consuming.

The **Inactive App Users** feature in the Sanas Portal automates this process. You can configure it to automatically deactivate users who exceed a defined inactivity period, freeing up licenses without manual intervention.

> _Note:_ _Deactivated users can be reactivated at any time from the Portal to restore their Sanas App access._

**How is app user inactivity calculated?**

A user is considered inactive when no app activation (app log in) is detected within 24 hours. The inactivity period is computed per the **UST** timezone.

**Example:** A group has the Inactive App Users feature configured with a 15-day inactivity period:

- **User A** goes on a week-long vacation. Inactivity tracking begins on Day 1. Because they return and activate the app on Day 8, they are still within the inactivity period and retain access without interruption.

- **User B** is moved to a project that does not use the Sanas App. After 15 days without activating the app, their status is updated to **Deactivated** in the Portal. User B must contact their admin or supervisor to be reactivated before they can log in again.

## Before you begin

- Ensure your Portal role has **Account Settings: Full Access** to complete this configuration.

## Configure Inactive App Users

1. Log in to the Portal using your credentials.

2. Select your **Sanas Account** on the Group Tree.

> _Note: Inactive users deactivation can be configured at account level only._

3. Navigate to **Settings** > **Configuration** > **Inactive App Users**.

4. Enable the **Deactivate Inactive App Users** toggle.

5. From the **Deactivate after** dropdown, select the number of days after which inactive users are automatically deactivated. The default is **30 days**.

6. Click **Save** to apply the changes.
